Ask ten suppliers for an inflatable tent quote and you will get ten very different numbers — often for products that are not comparable at all. The difference is rarely the supplier. It is the enquiry.
A one-line message like "please quote your best price for inflatable tents" forces the factory to guess: which model, what fabric, how many, packed how, delivered where. Every guess becomes an assumption, and assumptions are what make quotes impossible to compare. This guide gives wholesale buyers a checklist to send with the first enquiry, so the first reply is already useful — and so you can compare suppliers on the same basis.
It is not about appearing professional. There are three concrete reasons a complete enquiry works in your favour:
Start here. "Glamping accommodation for a coastal site" and "short-term event shelter" lead to completely different products. Include: who will use the tents, whether they are pitched seasonally or moved frequently, the climate (heat, UV, wind, snow load), and the ground type. This single paragraph does more to shape a correct quote than any other item.
If you have a model number from the catalogue, give it. If not, describe what the tent needs to hold: how many beds, whether guests need standing height, whether there is furniture, and how much covered outdoor space you want. A supplier can suggest sizes from that — and you will get a tent that fits your floor plan rather than one that merely looks right in a photo.
Give the total, but also the split: how many of each size, and whether this is a first order with more to follow. Pricing tiers exist for a reason, and a supplier who knows a second order is coming can plan fabric purchasing and production slots accordingly. If you are testing the market, say so and ask about sample or small-batch terms.
State your requirements rather than asking what is standard: flysheet fabric and coating, waterproof rating, groundsheet type (sewn-in or detachable), window and mesh configuration, and air beam construction. If you are not sure, describe the performance you need — "must handle sustained coastal wind" — and ask what specification meets it.
Standard colours are usually available without extra cost. Custom colours generally have a minimum quantity. If you need your logo, say where (flysheet, carry bag, door panel) and how many colours, since printing method and placement affect both feasibility and minimum order.
List what must be included: pump type and voltage, pegs and guy lines, repair kit, carry or storage bag, groundsheet, awning or porch, inner tent, stove jack, cable entry point. Accessories are a common source of surprise at delivery — either missing or charged separately.
Carton or carry bag, units per carton, and whether you need retail packaging, plain packaging, or bulk packing for your own distribution. If the tents will be reshipped to end customers, packaging matters more than price per carton suggests.
Give the destination port or door address, and state the trading term you want quoted — FOB, CIF, DDP or other. A quote without a delivery term is not a quote; the same unit price can mean very different landed costs.
Your required delivery date, and the constraint behind it: a campsite opening, an event date, a retail season. Suppliers can often work with a real deadline; they cannot work with "as soon as possible".
If your market, insurer or site operator requires flame-retardant certification, test reports or conformity documents, say so in the first email. Certification arranged after production is slower and more expensive than during it.

For a first order with a new supplier, yes. A sample lets you verify construction, assembly time and real usable space before committing. Ask how the sample cost is handled against a subsequent bulk order.
Ask for both: the price at your current quantity, and the price at the next one or two quantity breaks. It costs nothing to ask and tells you what volume is worth waiting for.
Because the answers change the product. Fabric grade, groundsheet type and accessory list can move the unit price more than negotiation will. Detailed questions are a sign the factory is quoting accurately rather than guessing.
For a standard model with a complete enquiry, usually a few working days. Custom sizes, printing or certification take longer because the specification has to be costed rather than looked up.
