For a wholesale tent buyer, the product is only as good as the date it lands in your warehouse. A great tent that arrives after your selling season, or after a competitor has taken the order, is a missed sale. Lead time and production capacity are therefore buying criteria in their own right — and the buyers who settle them early are the ones who never explain to a customer why a container is late.
This guide lists the eight questions every wholesale tent buyer should settle before confirming an order, and why each one protects your resale calendar.
Manufacturers often quote the lead time they hit on a good run. Ask for the typical lead time across recent orders, and for the lead time in your target season. Peak-season slots fill early, so the number you get in March is not the number you get in July.
MOQ drives both your cash tied up and your assortment. A low MOQ lets you test a colour or a market with less risk; a high MOQ forces a bigger commitment. Get the MOQ per model and per colourway in writing, because mixed-colour orders sometimes carry a higher minimum.
Ask directly: "If I confirm today for a [month] shipment, is there a slot?" A factory that is transparent about its load helps you plan; one that always says "no problem" without checking is a risk. Capacity is a real constraint in tent season.
Tent fabric, coatings and hardware have their own supply chains. A factory holding fabric stock can absorb a rush order; one that buys to order adds that procurement time to your lead time. For recurring orders, ask whether they will hold fabric against your forecast.
Your first order and your fifth order are different animals. Reorders against approved samples and held artwork should be faster. Confirm the reorder lead time and whether a top-up within a season is possible, so a hot seller does not sell out for weeks.
Things slip. The difference between a manageable slip and a disaster is communication. Agree up front: when will you be told of a delay, how much notice, and who is your contact. A buyer who hears about a two-week slip the day before sailing has no options; one warned three weeks earlier can re-plan.
If a product takes off, can the factory add lines or shifts, or are you capped at the original slot? For a growing distribution business, the answer affects how aggressive you can be with a launch. Get a realistic scaling number, not a promise.
Lead time and payment are linked. Deposit timing, balance-before-ship and inspection milestones all sit on the calendar. Align the payment milestones with production stages so you are not funding idle capacity — and so the factory is motivated to hit each date.
Once you have the eight answers, the job is to map them onto your own selling calendar:
A buyer who does this treats delivery as a planned event, not a hope.
None of these is a deal-breaker by itself, but together they signal that delivery discipline is weak — and delivery discipline is exactly what a wholesale buyer depends on.
Plan from the typical lead time, then add buffer for ocean or air shipping, customs clearance and warehouse receiving — commonly two to four weeks on top, more for distant markets or peak season. The quoted factory days are only part of the chain.
Often yes for testing a market, because less cash is tied up and you learn faster. For a proven seller, a higher MOQ with a locked slot usually beats a low MOQ that slips out of season. Match MOQ to the product's maturity, not to a single rule.
Sometimes. Factories will often hold a rough capacity window on a deposit or letter of intent while artwork and samples are finalised. Ask early — slots are the scarce resource in tent season, not the fabric.
The realistic lead time for your target window, confirmed in writing with a communication plan for slips. Everything else you can work around; a missed season date you cannot undo.
