How to Write an OEM/ODM Tent Specification Sheet: The Fields to Send Your Manufacturer

For a distributor or brand building its own tent line, the specification sheet is the single document that decides whether the factory builds what you pictured or what they assume. A vague brief produces a vague product and a quote that cannot be compared with anyone else's. A complete one produces a consistent unit, reorder after reorder.

This guide is a field-by-field template for an OEM/ODM inflatable tent spec sheet — the items to send a manufacturer so they quote and build to one clear reference.

Why the Spec Sheet Comes Before the Quote

A spec sheet turns a conversation into a buildable order. Without it, every factory interprets "a good 4-person tent" differently, and you end up comparing quotes for three different products. With it, you are comparing the same tent at different prices and lead times — which is the whole point of sourcing.

Treat the spec sheet as a controlled document: version it, keep the approved pre-production sample against it, and send the same file to every factory you brief.

Structure and Dimensions

Start with the shape and the numbers that define it:

  • Structure type — inflatable / air beam, and the beam layout (single tube, multiple tubes, tunnel, cabin).
  • Internal floor dimensions at floor level — not the external footprint, so usable space is unambiguous.
  • Peak height and wall slope — affects standing room and the usable floor area under the slope.
  • Door count and position — and whether they are zip, roll or hinged.
  • Compartment or bedroom layout — how the interior is divided, if at all.

For OEM/ODM, door position and compartment layout are common adjustable items, so state them rather than leave them to default.

Fabric and Coating

The fabric decides weight, feel, UV life and price. Specify:

  • Shell material and weight — e.g. coated polyester, with the denier or gsm.
  • Coating type — the waterproof and UV treatment applied.
  • Hydrostatic head — the waterproof rating, stated as a number, not "waterproof".
  • UV stability claim — if the supplier makes one, ask how it was tested.
  • Colourway — exact references, not "blue", so reorders match.

Ask the factory to confirm the fabric is stocked or custom, because that changes both lead time and minimum order.

Air System and Hardware

For inflatable tents, the air side is its own specification:

  • Beam pressure and pump type — what inflates the tent and to what pressure.
  • Valve type and position — and whether spares are supplied.
  • Puncture repair provision — patch kit included or separate.
  • Pegs, guy lines and anchors — material and quantity per unit.
  • Zips and fixtures — brand or grade if it matters to your market.

These are the items that fail first in the field, so specify them clearly and confirm spares availability.

Branding and Labelling

This is where your product becomes yours. State:

  • Logo placement and method — body, door, carry bag; print or label.
  • Private-label tags — sewn-in care label, carton and documentation.
  • Packaging artwork — printed carton and bag, with barcode and SKU.
  • Compliance marks — which marks must appear and where.

Keep approved artwork and colour references on file so the brand stays identical across the run.

Compliance and Documentation

For cross-border resale, documentation is part of the product:

  • Target-market standards — fire-retardancy class, toy/safety marks as relevant.
  • Test reports — which the factory provides, and which you arrange.
  • User documentation — quick-start guide and care label in your languages.
  • Warranty terms — what the unit is covered for and for how long.

Packaging and Shipping

Specify how the unit travels:

  • Carton dimensions and weight — per unit and per master pack.
  • Units per carton — if multiple, for warehouse handling.
  • Barcode and SKU — pre-printed for your flow.
  • Assembly state — flat-packed, part-assembled, or ready unit.

A Minimal Spec-Sheet Checklist

  1. Structure type and beam layout
  2. Internal floor dimensions at floor level
  3. Peak height and wall slope
  4. Door count, position and type
  5. Shell material, weight and coating
  6. Hydrostatic head and UV claim
  7. Colourway references
  8. Beam pressure, pump and valve type
  9. Pegs, guys, anchors and spares
  10. Logo, private label and packaging artwork
  11. Compliance marks and test reports
  12. Carton dimensions, weight and barcode

Send that sheet to every factory you brief, and the quotes become comparable.

Frequently Asked Questions

How detailed does the spec need to be for a first order?

Detailed enough that two factories quote the same tent. The twelve-point checklist above is a practical minimum — structure, dimensions, fabric, air system, hardware, branding, compliance and packaging. Less than that and you are comparing guesses.

Which fields are usually adjustable on OEM/ODM?

Door position, compartment layout, colourway, logo and label placement, packaging artwork and accessories are commonly adjustable. Fabric weight and structure type are possible but affect tooling and cost more, so confirm early.

Do I need test reports, or does the factory?

It depends on the market. Many factories supply standard test reports; for specific destination marks you may need to arrange your own. State the target standards in the spec so the factory quotes the right build.

Why specify internal floor dimensions instead of footprint?

Because inflatable tents have sloping walls, the external footprint overstates usable space. Stating internal floor dimensions at floor level removes that ambiguity and keeps every factory quoting the same usable area.
